1. Information You Provide to Us

Contact form

When you use the Nebijane contact form, we collect the information you choose to provide, including:

your name;
your email address;
your company, if you choose to provide it;
the reason for your inquiry; and
the contents of your message.

The contact form also includes a hidden anti-spam field that ordinary visitors are not expected to complete.

Please do not include sensitive personal information in a contact message unless it is necessary for your request.

Affiliate application and account

When you apply to the Nebijane affiliate program, we collect:

your name;
your email address;
a password, which is stored only in hashed form;
your company, if you choose to provide it;
your website URL, if you choose to provide it;
a description of how you plan to promote Nebijane products;
a social media or profile URL, if you choose to provide it;
additional application notes, if you choose to provide them; and
a record of your acceptance of the Affiliate Program Terms, consisting of the terms version and the time of acceptance.

The application form also asks you to acknowledge that you have read this Privacy Policy. That acknowledgment confirms the policy was presented to you as part of the application; Nebijane does not keep a separate record of it.

After you apply, we also maintain account information such as your email-verification status, application status (for example pending, approved, rejected, or suspended) and the dates of those status changes, and, if you are approved, the referral code assigned to you.

If you update your name, company, website, profile URL, or promotion description in your affiliate account, we replace the stored information with your update. If the Affiliate Program Terms change and you accept the updated version, we record that version and the time of acceptance.

The affiliate application and affiliate account do not collect tax identification numbers, bank account details, or payment credentials.

Password-reset and “remember me” features use security tokens associated with your account.

2. Information Collected Automatically

The website uses standard Laravel session and security functionality.

Depending on the site configuration and your interaction with the website, technical information may include:

IP address;
browser or user-agent information;
session identifiers;
information needed to protect forms against cross-site request forgery (CSRF); and
temporary rate-limiting information used to reduce spam or automated abuse.

If database-backed sessions are enabled, session records may contain an IP address, browser or user-agent information, and session data. These session records are separate from the referral-click records described in Section 3.

Website analytics

The public Nebijane marketing pages use Google Analytics 4, a web analytics service provided by Google, to help us understand how visitors use the website, such as which pages are viewed. Google Analytics is not loaded on the affiliate application, affiliate account, or administration pages.

When a marketing page loads, the Google Analytics script runs in your browser and sends information to Google, which may include the pages you visit, the referring page, browser and device information, and your IP address, from which Google may derive an approximate location. Google processes this information under its own terms and privacy policy.

The Nebijane website does not include advertising pixels or behavioral advertising tools.

Normal hosting, web-server, security, or network infrastructure may also create technical logs, which can include IP addresses and requested URLs. The details and retention of those infrastructure logs depend on the production hosting environment and are not established by the Nebijane application itself.

3. Referral Tracking and Attribution

Referral clicks

When someone follows an affiliate referral link on the Nebijane website, Nebijane may create a referral-click record containing:

the affiliate’s referral code and the product being referred;
a randomly generated click token;
the product landing path;
the host name of the referring website, if the browser provides one (not the full referring address);
the date and time of the click; and
hashed technical identifiers derived from the visitor’s IP address and browser user-agent.

The referral-click record does not store the raw IP address or raw user-agent string. Instead, those values are converted using a keyed hash before storage. The IP-based hash also incorporates the date. These hashed values are pseudonymous technical identifiers: they are not names or contact details, but they are not anonymous, and they can be compared with other hashed values. Nebijane uses them to help identify duplicate, automated, or abusive referral activity.

Raw IP addresses and user-agent information may still appear in other records, such as session records and infrastructure logs described in Section 2.

After recording the click, Nebijane forwards the visitor to the product website with the click token in a signed link. Nebijane does not place a referral cookie on the Nebijane website for this purpose. A product website may use its own first-party cookie to remember the click token, as described in that product’s privacy notice.

Attribution

If a referred visitor later creates a customer account for the product, the product may send Nebijane an attribution message so that Nebijane can associate the signup with the referral. Nebijane may then record:

the product and the related referral click and affiliate;
an identifier assigned by the product to the customer account or organization (for example, a ShiftSideKick organization identifier);
the time of the referral and the time of registration; and
the status of the attribution.

The attribution message is designed not to include the customer’s name, email address, phone number, or postal address, and Nebijane does not store those details from attribution messages. The product, however, holds its own customer account information, which is described in that product’s privacy notice.

Referral and attribution information is used to operate the affiliate program, including determining which affiliate referred a customer and, once commissions are introduced, calculating and reviewing affiliate commissions.

4. How We Use Information

We may use information described in this policy to:

respond to questions and requests;
provide product or customer support;
respond to billing, business, privacy, or legal inquiries;
understand the nature of an inquiry and route it appropriately;
review and decide affiliate applications;
create, authenticate, and secure affiliate accounts, including email verification and password resets;
communicate with applicants and affiliates about their application, account, and the affiliate program;
record referrals and attribute customer signups to affiliates;
administer the affiliate relationship, including future commission and payout records;
detect and prevent fraud, abuse, invalid referral activity, and security threats;
understand how visitors use the public marketing pages so we can improve them;
troubleshoot delivery or technical problems;
maintain the security and reliability of the website; and
comply with legal, tax, accounting, and recordkeeping obligations where applicable.

We do not use the current Nebijane website or referral data to build behavioral advertising profiles.

5. Contact Form Delivery and Storage

The Nebijane contact form is designed to validate your submission and send it to a monitored Nebijane contact destination through the website’s configured mail system.

The application does not currently create a separate database record containing the full contact-form submission.

The website may use your IP address for rate limiting. If database-backed sessions are enabled, session records may also contain an IP address, browser or user-agent information, and session data.

Application code does not intentionally log full contact-form message bodies during ordinary successful processing. However, development or mail transport configurations can affect logging behavior. For example, a Laravel log-based mail transport may write the rendered email to application logs during local development.

Messages that are successfully delivered may remain in the receiving mailbox or email service according to the operational practices and retention settings of that system. A fixed retention period has not yet been established.

6. Cookies and Session Technology

Nebijane uses session-related technology for website functionality and security.

This may include cookies used to:

maintain a web session;
support CSRF protection;
allow the contact form and affiliate forms to function securely;
keep affiliates signed in to their account; and
remember an affiliate’s sign-in on that browser if they choose “Remember me.”

On the public marketing pages, Google Analytics also sets its own first-party analytics cookies, such as cookies whose names begin with _ga, to distinguish visitors and sessions. Google determines what these cookies contain and how long they last.

The website does not use advertising cookies, and Nebijane does not set a referral cookie on the Nebijane website (see Section 3).

7. Service Providers

Nebijane may rely on service providers to operate the website, affiliate accounts, and related email, such as:

website hosting and database providers;
email or SMTP providers, including for contact messages, account verification, password resets, and affiliate application and account status emails; and
infrastructure providers necessary to operate the site.

These providers may process information on our behalf only to the extent necessary to provide their services.

The Nebijane marketing website itself does not process ShiftSideKick subscription payments. Nebijane uses third-party payment processors such as Stripe for paid ShiftSideKick subscriptions. Payment-card handling and related billing metadata are described in the ShiftSideKick Privacy Notice and the Billing, Cancellation & Refund Policy.

The public marketing pages use Google Analytics 4, provided by Google, as described in Sections 2 and 6. The current marketing website application does not contain active integrations for advertising pixels, AI providers, live-chat tools, map services, or other behavioral analytics platforms. If those practices change, this policy should be updated before or when the relevant functionality is introduced.

8. Security

Nebijane uses reasonable application-level safeguards appropriate to the current website.

Verified safeguards in the current application include:

Laravel CSRF protection on website and affiliate forms;
server-side validation of submitted forms;
an allowlist for inquiry categories;
standard output escaping in Blade templates;
rate limiting for contact submissions, affiliate applications, and sign-in attempts;
anti-spam honeypot handling on the contact form;
hashed storage of affiliate account passwords;
keyed hashing of IP address and user-agent values in referral-click records;
signed, authenticated messages for product attribution; and
environment-based configuration for mail credentials and other secrets.

No website or transmission method can be guaranteed to be completely secure.

This policy does not make claims about production encryption at rest, hosting-provider security controls, certifications, or other infrastructure protections that have not yet been independently verified.

9. Data Retention

Nebijane keeps information only for as long as reasonably needed for the purpose for which it was collected, subject to operational, legal, security, or recordkeeping needs.

For the current website and affiliate systems:

contact-form submissions are not stored in a dedicated application database table;
successfully delivered messages may be retained in the receiving mailbox or email service;
session information is temporary and subject to application session settings;
affiliate account and application information is retained while the account exists and afterward as reasonably needed for program administration, dispute resolution, fraud prevention, and legal, tax, or accounting purposes;
referral-click and attribution records are retained as reasonably needed to operate the affiliate program, review commissions, resolve disputes, and prevent fraud; and
application and infrastructure logs may be retained according to the applicable production configuration.

Nebijane has not yet established fixed public retention periods for contact inquiries, affiliate records, referral records, or production logs. We will update this policy if a specific retention schedule is adopted.

10. When Information May Be Shared

Nebijane may share information when reasonably necessary to:

operate, host, or secure the website and affiliate systems;
deliver and respond to contact inquiries;
work with service providers acting on our behalf;
exchange referral click tokens and attribution status with the relevant Nebijane product so that referrals can be attributed;
comply with applicable law, legal process, or government requests;
protect Nebijane, our users, or others from fraud, abuse, or security threats; or
evaluate or complete a business transaction involving Nebijane, subject to applicable law.

We do not currently provide personal information to advertising networks for behavioral advertising.

11. Your Privacy Requests

You may contact Nebijane through the website contact form regarding a privacy question or request.

Choose Privacy or legal as the inquiry reason.

Dedicated privacy or legal email addresses may be added later after those mailboxes are active, monitored, and tested.

Depending on where you live and the laws that apply, you may have rights regarding personal information about you. We may need to verify your identity before completing certain requests.

12. Children’s Privacy

The Nebijane website, the affiliate program, and the business software described on the website are not directed to children.

We do not knowingly design the current website contact form or affiliate application to collect personal information from children.

If you believe a child has provided personal information through the site, contact us through the Contact page so we can review the request.

13. External and Product Websites

Nebijane may link to product websites or other third-party websites.

Their privacy practices may differ from those described here.

Unless expressly stated otherwise, this Privacy Policy applies to the Nebijane marketing website, the affiliate program systems, and the information-processing activities described in this policy.

14. Changes to This Privacy Policy

We may update this Privacy Policy when the website, our products, the affiliate program, our service providers, or applicable requirements change.

When we make material changes, we will update the effective date shown at the top of the policy.
